The short version

You keep your photo. You are giving Cahill & Co. permission to use it on the site, on the band’s social accounts and in the band’s own promotion. Nothing goes up without a person looking at it first.

Only send what is yours to send, and only if everyone recognisable in it is alright with it. If you want something taken down, email booking@cahillandcompany.com and it comes down.

  1. What this covers

    These terms cover photos and video sent to Cahill & Company through the upload page on this site. That is the page the QR code on the sign at the gig points to. Ticking the box on that screen means you agree to what is on this page.

    You do not need an account and you are not asked for your name, your email or your phone number. The upload page asks for files and for that one tick, and nothing else.

    Photos as JPG, PNG, HEIC and WEBP, video as MP4 and MOV. Whatever a phone shoots. Anything else is refused there and then, and the screen says why rather than failing quietly.

    One thing you are not sending, which you would otherwise not know about: the hidden data your camera writes inside a photo. That means the timestamp, the phone model, and the GPS coordinates of where you were standing. It is removed on your phone before the file is sent, so it never reaches the band. Which way up the picture goes is kept, and nothing else is.

    It is also checked once it arrives. If a photo turns up with any of that still in it, it is deleted instead of kept and the screen tells you it was not accepted. That is not a formality: it means the promise in the paragraph above is verified on the file rather than assumed.

    Video is the exception. A clip keeps whatever location data your phone put in it, because cleaning a file that size is not something this page can do. Send video knowing that, and turn location off for the camera if you would rather not.

  2. What you are giving us permission to do

    You keep your photo. Sending it does not hand over the copyright and does not make it ours.

    The permission you are giving Cahill & Co. is free, has no end date, and is not exclusive. It allows the band to use what you send:

    • on this website
    • on the band's own social accounts
    • in the band's own promotion: a poster, a flyer, a press kit, a reel

    And to crop it, trim it, fix the colour, put a caption or the band's name on it, and resize or re-encode it so it works wherever it is being posted. Ordinary editing. Not editing that changes what the moment was.

    Not exclusive means you still do whatever you like with your own photo. Post it, print it, sell it. Nothing here takes that away or asks you to wait.

    Two things this permission does not cover: paid advertising, and licensing your photo on to somebody else. If either ever came up, Chris would ask you first.

  3. What you are confirming when you tick the box

    Three things, and they are the whole reason the box is there.

    • You shot it, or it is otherwise yours to send. Not a screenshot of somebody else's post, not something pulled off Instagram.
    • Anyone recognisable in it is alright with you sending it. If a mate is in the shot, ask them. A busy dancefloor is one thing; a close-up of one person who has not noticed you is another.
    • There is nothing in it that should not be there. Nothing unlawful, nothing shot where the venue said not to, and nothing you would not want the band posting.

    If you cannot say yes to all three, do not send it. Send the ones you can.

  4. Nothing gets posted without somebody looking at it

    What you send goes into a private library that only the band can see. It is not published, it is not public, and nothing on this site puts it up on its own. There is no address it can be reached at and no folder anybody can browse — not a hidden one, not an unguessable one. The only way in is the band signing in to its own admin page.

    Then somebody actually looks at it and picks what gets used. Most of what arrives from a gig never gets posted anywhere. That is not a verdict on your camera work. There is just a lot of it, and one night only needs a few.

    It is kept for twelve months and then deleted, unless the band has specifically marked something to keep. There is no automatic job doing the deleting yet, so in practice that is a person going in and removing old files — worth saying plainly rather than implying a schedule that does not exist. Either way, keep your own copy: this is somewhere to send them, not somewhere to store them.

  5. Credit

    The upload page never asks who you are, so most of the time the band genuinely does not know who sent what. That means a credit cannot be promised here.

    If you want one, email booking@cahillandcompany.com or message the band on Instagram, say which night and which shots were yours, and you will get credited where there is somewhere to put it.

  6. Nothing from anyone under 18

    Do not send anything if you are under 18. Do not send photos or video of anyone under 18 unless you are their parent or guardian and you are happy for the band to use it.

    The upload page has no way of checking either of those, because it does not ask who anybody is. So this one rests on you. Anything that looks like it should not have been sent gets deleted.

  7. Getting something taken down

    Email booking@cahillandcompany.com. You do not have to explain why.

    Say roughly what it was. The date or the venue, what is in the shot, the filename if you still have it. That is enough to find it — the filename you sent it under is kept with the file, and so is the date it arrived, which is what makes that search possible at all.

    It comes out of the band's library, and it comes down anywhere the band controls that it has already been posted. If somebody else has already reposted or screenshotted it, the band cannot pull that back off the internet, and nobody here is going to pretend otherwise.

    No turnaround is promised, because promising one and missing it would be worse than being straight with you: this is one working musician's inbox, not a support desk. It gets done when he reads the message. If it is urgent, say so in the subject line.

  8. What the band can do at any time

    Nothing here obliges the band to keep, use, credit or publish anything you send. Anything can be taken down or deleted at any point, for any reason, without telling you.

    So keep your own copy of your own photos. This is somewhere to send them, not somewhere to store them.

Getting hold of us

There is one address for anything on this page, whether that is a question, a takedown, or asking what Cahill & Co. has that relates to you. It is the same inbox as booking enquiries, and it is read by a person.
